One of the first steps to make your surveying more efficient to import an existing list of building records into your survey database.

CREATING AN IMPORT LIST

A pre-populated Building List already exists with some example entries. All you need to do is to populate it with your own data. Do the following:

1. Click the 'Edit Lookups' option on the PS Data Manager's SideBar.

2. Select 'Edit New Buildings List'. The list will appear in PS Data Doctor.

3. Right-click the diamond at the bottom of the list and select 'New Record'; a blank record will be inserted.

4. Double-click on each cell in the new record and type in the relevant information.

When you have finished entering information click the 'Save' icon and exit PS Data Doctor.

IMPORTING THE LIST

1. Click the 'Import' icon

2. Select 'Import from New Buildings List to Building Table'

3. Follow the on-screen instructions

EXPORTING A VISIT LIST

1. In PS Data Manager's top window panel highlight the Buildings that you wish to appear in the Visit List. (You can select multiple items by holding the 'Ctrl' key down when you click on them.)

2. Click the 'Export Visit List' option on the PS Data Manager's SideBar.

3. A preview of the list will appear in PS Data Doctor. Check it to make sure this is what needs to be sent to the handheld. If it is NOT correct then exit Data Doctor and start again from step 1.

4. Exit Data Doctor then click the 'Cloud' icon in Data Manager's top row and select 'Send Files' from the list. PS Cloud Monitor will appear and show a list of handheld users. Tick the one that you wish to send the list to.

N.B. Sending the same Visit List to multiple users is not recommended if you want to avoid having the same building surveyed multiple times.

5. Click the 'Send' button.

When your handheld users are ready they can receive the Visit List by selecting 'Cloud > Receive' in the PS Mobile App.
