Follow the instructions below to import your survey database with basic information, e.g. record identifiers, address, postcode, etc., from an external table such as a spreadsheet.

Preparation

1. Make sure that your source table is formatted and saved as a CSV (Comma Separated Values) file with a header row of column names.

Example:

"Record ID","PostCode","House Number","Occupier"

"A100","SK19 5UB","52","Archie Pelago"

"B200","SW1 5AC","4","Gordon Zola"

"B406","MW2 4JK","13","Barry Cetamol"

"F007","CB15 5SD","1a","Anna Glypta"

2. Place the source table into the IMPORT folder of your database. If you don't know where this is, then click the FOLDERS button ion the PS Data Manager toolbar and select IMPORT from the list.

3. Click the IMPORT toolbar button and select IMPORT WIZARD from the list. When the small screen appears, click the ADVANCED button and then the IMPORT button.

4. At the next screen select BUILDING TABLE.

5. Now select the source table that you created in step 1.

6. PS Data Doctor will now display a mapping table that allows you to establish where each field in the source table should go in the database.

The BUILDING TABLE column shows the field names of your database.

The adjacent 'Import From Column' column will be empty the first time you do this, so you need to select the source field for each database field by double-clicking the appropriate cell in the 'Import From Column' column and selecting from the list.

Data Manager will save your mappings for the next time you import data.

Example

Building
Import From Column
----------------------------------
Building ID
Property ID
Tenant Name
Occupier

7. When you have finished, click the SAVE button and then EXIT.

Final Step

8. After step 7 Data Manager will present a small screen confirming that the import list has been created and its name. This is the option that you will run from the IMPORT button.

9. Click the IMPORT button and select the option indicated in step 8.
